What to Include in an Auto Parts RFQ

A useful request for quotation separates what you know from what needs checking. Give each part its own line, state the quantity and unit, and ask for fitment and commercial terms to be confirmed. You can send an enquiry even if an OE reference is missing.

1. Make a clear item list

For each line, provide a part description, the complete OE reference if available, component position and required quantity. Keep alternative or uncertain references in a separate note. Do not put several different parts under one quantity.

Use an explicit unit: “10 pieces” and “10 sets” are different requests. If asking for a kit or set, describe the components you expect it to contain. This reduces ambiguity without assuming how a supplier packages the item.

2. Add vehicle information for checking

Include Chery, MG or BYD brand, model, year and engine or powertrain details where known. State unknowns clearly. If a VIN is needed, send it through the private enquiry channel rather than posting vehicle documents publicly. For help with reference numbers, read our OE-number checklist.

3. Separate requirements from supplier confirmations

  • State your destination country and requested delivery timing.
  • Describe packaging or labelling requirements.
  • Ask for unit price, currency and quotation validity.
  • Ask the supplier to confirm minimum order quantity, availability and lead time.
  • Clarify freight, delivery terms and which charges are included.

Your requested delivery date is a requirement for review, not an agreed promise. Record confirmed terms in the quotation before treating an enquiry as an order.

How to send photos or an Excel list

The current ChinaRide Parts form does not accept attachments. Submit the enquiry first, then email your list or photos to chinarideparts@163.com, including the enquiry reference. Use one row per item in a spreadsheet, and label photos with the corresponding row number. Send only information relevant to the parts request.

Before accepting the quotation

Check that the reply refers to the same item numbers, quantities and units you requested. Resolve unconfirmed fitment, substitutions, kit contents and delivery terms in writing. Sending an RFQ does not place an order or confirm stock.
